Executive/Legal Assistant for Leslae Dalpiaz

Provide complete support to solo practitioner in high volume plaintiffs’ workers’ compensation (and limited personal injury) law firm.  Support includes:

  • Extensive correspondence and document preparation both from dictation and self-direction.
  • Extensive client communications:  phone, mail and in person.
  • Extensive communications with insurance adjusters, Department of Labor personnel, etc.
  • Scheduling appointments and meetings as needed, often including several parties.
  • Organizing and maintaining client files including large volume of medical records.
  • Transition closed files to archivist; maintain electronic records when returned from archivist.
  • Management and tracking of critical dates for client benefits, settlements and court cases.
  • Filing for mediation with the Department of Labor as necessary.
  • Troubleshooting client issues, particularly related to prescriptions.
  • Processing biweekly benefits and settlements for clients through trust account.
  • Managing and reconciliation of business, trust and real estate investment accounts.
  • Design and monitor firm marketing and advertising including website management in conjunction with website provider.
  • Maintaining firm records re: client referral sources, year-to-year settlements, etc.
  • Ordering supplies, maintaining office equipment.
  • Weekly backup of QuickBooks to external drive and store it offsite (remaining data is cloud-based).

Tools used:

  • Microsoft Office (Word, Excel, Outlook).   
  • QuickBooks (3 different company accounts).
  • Stamps.com.

This is a fast-paced, high volume job, and the ability to multitask and address multiple ongoing issues is critical.  The ability to work independently without direction and manage the day-to-day office is important.  Hours are great-- typically 9-5 Monday-Thursday and 9-1 Fridays, with daily lunch a “working” half hour at the desk.  Pay includes 8 hours per day, including Fridays.  The job has its frustrations, primarily in dealing with understandably needy clients, and often unresponsive insurance adjusters.

**Ability to start training immediately is a bonus.
