Garlington, Lohn & Robinson seeks a full time Legal Assistant for its Missoula firm. The position requires that the applicant work under assigned attorneys and department supervisors, performing a variety of secretarial duties for the firm, under general supervision, and according to established policies and procedures.
The applicant must maintain positive contact with clients, attorneys, and staff, and observes confidentiality of firm's matters. Essential functions include: proficiency in word processing, excellent customer service/telephone and reception assistance, proficiency in scheduling/calendaring appointments for attorneys, knowledge of court rules and statutes applicable to work product, maintenance of attorneys' client files using established procedures. Applicant must be able to review, proof, and edit billing printouts, including attorneys' Work-In-Progress reports, draft statements and final statements, ability to process incoming mail, ability to communicate clearly, operate a variety of machines and office equipment, assist with preparation of trial exhibits, visual aids, and other documents, assist others with work including typing, filing, photocopying or reception relief and accepts additional duties as required, attend meetings, seminars, workshops and/or training sessions as required, make travel arrangements as requested, including airline, rental car and accommodation reservations, process registrations for attorneys' Continuing Legal Education activities and notifies appropriate personnel of CLE information, travel to perform duties away from office setting, contribute to the workflow with regular and punctual attendance, performance of other work-related duties as assigned.
Computer proficiency and an expert level knowledge of Microsoft Word is required. Applicant must be a high school graduate, but additional training beyond high school preferred. One year’s experience in a law office is also preferred.
Applicants must have strong communication skills and strong team player skills. Applicant must also have the ability to interpret and follow instructions, establish and maintain effective working relations with staff and clients, communicate clearly, maintain confidentiality, perform computer word processing- producing accurate legal documents with minimal supervision, transcribe legal documents, correspondence, and reports from rough draft, dictation, or transcription, the ability to proofread material for grammatical, typographical and spelling errors, and the ability to perform editing of routine law office correspondence and legal case matters.
Applicants must have the ability to organize and prioritize numerous tasks and complete them under time constraints, work at a fast pace, and remain accurate at a high level of mental effort when performing various tasks. Applicant must have the ability to perform non-complex math calculations, maintain records and filing systems, including retrieving files and written documents, communicate and follow instructions effectively and provide information with courtesy and tact, including ability to communicate by phone, demonstrate professional appearance and attitude, and deal with people in a friendly, cooperative and professional manner.
The applicant must sit or stand for long periods of time; use a computer terminal; reach forward and to the side; bend from both standing and sitting positions; and lift items weighing various amounts, including some heavy lifting.
